Calira helps core facilities, research groups, and university departments manage shared instruments, simplify training-based access, and support funding-linked projects and reporting.

Set prices for each instrument, then tag usage to project codes, PIs, expiry dates, or funding bodies; perfect for recharge workflows.

A centralized calendar shows real-time availability, tagged equipment, and clear visibility across sites and departments.

Not trained? Not using it. Access enforcement ensures students, staff, and external guests/contractors can only book or work on the equipment they’re allowed to use.

LabTrack™ installs onto equipment-connected PCs, measuring real-time usage and, where needed, limiting access entirely unless users have bookings and the correct access rights.
Post equipment downtime notices or safety reminders directly into the booking experience.

Replace spreadsheets and uncertainty with a searchable, manageable directory of all your R&D equipment.

An easy, visual way to book equipment that keeps track of availability, reduces conflicts, and helps teams plan their work.

Make confident decisions with clean usage data so you can see what's being used, what isn't, where, and why.
Schedule and block off equipment for maintenance and calibration, assign tasks to contractors, and keep everyone in the loop.

Assign roles, invite new users, enforce training rules, and scale user access without losing oversight.

Keep everyone aligned and on time with booking reminders, maintenance alerts, calendar sync, and lab-wide announcements.
Yes. Calira is used by core facilities, research groups, and university departments to manage shared instruments across multiple buildings, handle training-based access, and support funding-linked project reporting. Customers include Stanford, MIT, Oxford, Cambridge, and KU Leuven among others.
Yes. Each booking can be tagged to a project or funding code, with PI and expiry date metadata. Pricing can be set per instrument and varied by group (for example, General, Charity, and Research Council rates), which supports most academic cost recovery and recharge models.
Turn on the Training feature, then mark each user as trained or untrained on specific instruments. Untrained users can be prevented from booking, or given a restricted booking schedule. This is commonly used to enforce mandatory induction or training before students can access sensitive or expensive equipment.
Yes. Calira offers a Core subscription for academic institutions: a single annual fee covering unlimited users, equipment, and bookings. Discounted Academic Premium and Academic Enterprise tiers are also available for institutions that need additional features like ELN integrations or SAML SSO.
Yes. Reports aggregate by user, group (typically mapped to lab or PI), project, or funding code, and export as CSV. This supports the reporting required by academic funders as well as internal cost recovery and facility performance reporting.

We know that every lab is different. Our team has years of experience in the lab and can answer any question you have and demo the whole platform in less than thirty minutes.
